Aileron Aviation Pvt Ltd – Leave Policy
1. Introduction
Aileron Aviation Pvt Ltd. (hereafter referred to as “the Company”) recognizes the importance of providing its employees with adequate time off to maintain their well-being, personal matters, and health. This Leave Policy outlines the types of leaves available to employees, the process for applying for leave, and the procedures for leave approval and carry-forward.
2. Leave Eligibility and Entitlement
All regular employees of Aileron Aviation Pvt Ltd are entitled to the following types of leaves:
- Annual Leave (Paid Leave):
- Employees are entitled to 1.5 days of paid leave for each completed month of service, which totals to 18 days of leave per annum (1.5 days/month).
- Leave will be accrued on a monthly basis and can be taken in the same year it is accrued.
- Unused leave may be carried forward to the next year, subject to a maximum of 30 days. Beyond 30 days, the unused leave will expire, unless otherwise decided by the management.
- In case of an employee joining mid-year, the leave will be calculated proportionally based on the months of service in that year.
- Sick Leave (Medical Leave):
- In addition to the Annual Leave, employees are entitled to 12 days of sick leave per year.
- Sick leave can be availed for illness or medical reasons and does not require prior approval in cases of emergency.
- A medical certificate may be requested for absences extending beyond 2 consecutive days.
- Casual Leave:
- Employees are entitled to 7 days of casual leave per year for personal matters or emergencies.
- Casual leave is non-cumulative and must be taken within the same calendar year.
- Casual leave should be applied in advance unless in case of urgent situations.
- Maternity Leave (Applicable to Female Employees):
- Female employees are entitled to 26 weeks of maternity leave in accordance with the Maternity Benefit Act, 1961.
- The leave may be availed before or after delivery, with at least 8 weeks to be taken post-delivery.
- The employee should inform the management of the expected delivery date at least 8 weeks in advance, providing a medical certificate from a registered doctor.
- Paternity Leave (Applicable to Male Employees):
- Male employees are entitled to 5 days of paternity leave, which can be taken within one month of the child’s birth.
- Public Holidays:
- The Company observes national holidays and any other public holidays as applicable by the law. Employees will be given holidays on these dates.
- If the employee is required to work on a public holiday, they will be compensated with compensatory leave or overtime, as decided by the management.
- Leave Without Pay (LWP):
- In exceptional cases, when an employee has exhausted all available leave, they may apply for leave without pay (LWP). Approval of LWP is at the discretion of the management.
- LWP will not be included in the employee’s service record or salary calculations and may affect the continuity of service.
3. Leave Application and Approval Process
To ensure smooth leave management, the following procedures should be followed:
- Advance Application:
- For Annual Leave, Casual Leave, or Sick Leave, the employee should submit a leave application via email or leave management system at least 7 days in advance (except for Sick Leave, which can be applied on the day of illness).
- For maternity/paternity leave, the employee must submit a formal request at least 8 weeks before the expected date of delivery.
- Leave Record:
- The leave balance for each employee will be maintained in the company’s HR system and updated regularly.
- Employees are required to check their leave balances before applying for leave to ensure sufficient leave days are available.
- Approval Process:
- The employee’s supervisor or manager will review and approve or deny the leave request based on operational requirements.
- Leave requests will be approved based on the availability of leave and staffing requirements.
- In case of an emergency, the employee should inform their supervisor as soon as possible and submit the leave application afterward.
- In case of Absence without Intimation:
- If an employee is absent without prior approval or proper intimation, it will be treated as unauthorized leave, and disciplinary actions may be taken as per company policy.
4. Leave Encashment
- Encashment of Unused Annual Leave:
- Employees are allowed to encash unused leave at the time of resignation, termination, or retirement, as per the company’s policies.
- Leave encashment will be paid based on the employee’s last drawn salary for the respective leave days.
- The maximum leave that can be encashed is 30 days.
5. Special Leave
The following types of special leaves may be granted at the discretion of the management:
- Bereavement Leave:
- In case of the death of an immediate family member (spouse, parents, siblings, or children), an employee is entitled to 3 days of paid leave.
- Additional leave may be granted as per the management’s discretion.
- Leave for Jury Duty or Court Appearance:
- Employees may be granted leave for mandatory jury duty or court appearance, subject to submission of official documentation.
6. Miscellaneous Provisions
- Non-Accrual of Leave During Suspension:
- No leave will be accrued during a period of suspension.
- Excess Leave:
- Employees who take more leave than the available balance (without approval) may have their salaries adjusted for the excess leave taken or face disciplinary action.
- Transfer of Leave:
- Leave entitlements are non-transferable to other employees or to any other year.
- Change in Leave Policy:
- The company reserves the right to modify or amend this policy at any time as per operational needs and statutory requirements. Employees will be notified of any such changes.
